How to set up and use FinNGO.

Getting started

  1. Sign in and check that the right organisation is selected at the top of the menu.
  2. Under Settings, confirm your base currency and the month your financial year starts.
  3. Under Finance, open Period Management and generate the accounting periods for this year.
  4. Invite colleagues from Settings and give each the role that matches their work. Owners can change roles later.

Chart of accounts

  1. Open Finance, then Chart of Accounts, and add your asset, liability, net asset, income and expense accounts.
  2. Mark restricted income accounts and give expense accounts a functional class (programme, management or fundraising) so the statement of activities is correct.
  3. Link each bank account to its general ledger account under Bank Reconciliation.

Journals

  1. Choose New Journal, enter the date and description, and add at least two lines. Debits must equal credits.
  2. Save as a draft to finish later, or post it if your role allows. Accountants submit drafts for approval.
  3. Posted journals cannot be edited. To correct one, open it and reverse it, then post the right entry.
  4. If your organisation requires approval, a different finance manager or admin approves before posting.

Grants and budgets

  1. Add the donor and project, then the grant with its approved amount and dates.
  2. Add budget lines for the grant and link each to a general ledger account.
  3. Allocate posted expenses to the grant under Cost Allocations. Utilisation updates as journals are posted, and finance users are alerted when a grant reaches its threshold.

Procurement

  1. Raise a requisition and submit it. Someone other than you approves it.
  2. Convert the approved requisition to a purchase order and submit the order for approval.
  3. When goods arrive, record a goods receipt with the quantities received and any rejected.
  4. Create the vendor bill against the purchase order. It can only include what was received, at no more than the order price.

Payroll

  1. Set your payroll accounts once under Finance, then Payroll Accounts.
  2. Make sure each employee has an active contract with salary and allowances.
  3. Create the payroll cycle, calculate it, review the figures and approve it.
  4. Post the approved cycle to the ledger. FinNGO creates one balanced journal on your payroll accounts.
  5. PAYE follows the Nigeria Tax Act 2025. Check the figures with your tax adviser before filing.

Bank reconciliation

  1. Import a statement (CSV, MT940 or OFX) for the bank account under Bank Reconciliation, then Import.
  2. Run matching to suggest journals for each line, then confirm or adjust matches on the account page.

Closing a period

  1. Post or void every draft in the period, then close it under Period Management.
  2. Only owners and admins can reopen a closed period, and they must give a reason, which is recorded.
